Medical Billing Support for Practices on Kareo

Certified billers working inside your Kareo system: charge review, claim submission, payment posting, denial follow-up and reporting, with no software change.

Billing for Kareo practices, inside the system you already use

If your practice already runs on Kareo (Tebra), you do not need new software to get better billing. Our Kareo billing services put certified billing professionals to work inside your existing Kareo account, under the user access you grant. Charges, claims, payments and notes stay in your own system, so your providers and staff can see every claim and every follow-up action at any time.

There is no software to install and no data migration. Your team's workflows for scheduling and documentation stay exactly as they are. We take on the billing side: reviewing charges, working claim queues, posting payments, chasing denials and keeping AR current. A Business Associate Agreement is signed before anyone on our team accesses your system.

How claims move through Kareo with a billing team on them

Before any claim is submitted, our team reviews the coded encounter against the signed note, checking codes, modifiers, units and diagnosis pointers. Charges are reconciled to the daily schedule so no completed visit is left unbilled. Claims then pass through the system's scrubber edits and are submitted through the clearinghouse connection your account already uses.

Rejections are worked daily. A rejected claim never entered the payer's system, so after fixing the error we resubmit it as a new claim. We also track accepted claims through adjudication and run status checks on claims that sit past the payer's normal processing time. Our claims management service describes this process in full.

Payment posting and underpayment checks

Electronic remittances are posted in your system, but posting is only half the job. We review each ERA line by line, compare payments against the expected contracted rate, and flag underpayments rather than writing them off. Denied and adjusted lines are routed to denial follow-up the same day they post.

Posted totals are reconciled to bank deposits, and manual payments, paper EOBs or patient payments are posted in the same workflow. See the main EHR & PM systems page for how the work stays inside your account.

Denial follow-up and aging AR

Denied claims are worked from the system's denial worklists by code and by payer, with a note on each claim recording what was done and when. We read the CARC and remark codes and decide whether the fix is a corrected claim, a reopening request or an appeal, acting before the payer's appeal deadline. AR is worked by age and by dollar amount so the backlog does not grow.

Monthly reporting shows days in AR, denial rate and collections against your contracted rates. Our denial management team owns this part of the cycle end to end.

Eligibility and prior authorization checks

Most denials start at the front desk, not in the billing office. We verify eligibility and benefits before visits using the system's eligibility tools or the payer portal, and confirm authorization requirements for services your payers flag. Authorization numbers, approved units and dates are recorded on the patient account so claims go out with the right reference attached.

For services that need prior approval, the authorization is requested and tracked before the visit, and extensions are requested before the approval runs out. If your practice bills services that commonly require authorization, our prior authorization support covers that workflow.

Credentialing, reporting and the monthly review

Claims only pay when the rendering provider is enrolled with the payer, so credentialing runs alongside billing for practices that add providers or locations. We track payer enrollment status by payer and flag any provider or location that is not ready to bill before claims go out.

Each month your account contact walks you through a plain-language report: collections, denial rate, AR aging and what changed since last month. To understand pricing before you start, see our pricing page, or begin with a free billing assessment where we review your claims, denials and AR and explain what we found.

FAQ

Kareo billing questions

Still have a question? Talk to our team about your billing workflow.

Do we have to change anything about our Kareo setup?

No. We work inside your existing Kareo account with its current templates, fee schedules and clearinghouse connection. The only change is the user accounts your practice creates for the billing team, with the roles and permissions you choose.

Are you affiliated with or certified by Kareo?

No. Fastora is not a partner or certified provider of Kareo or Tebra. We are a billing company whose team works inside your system under the access you grant, the same way an in-house biller would.

Do you work inside our system or export our claims?

We do. Claims are reviewed, scrubbed, submitted and followed up in your own Kareo account and its connected clearinghouse, so every note, payment and status change stays in your records. Your team can open any claim and see exactly where it stands.

How do you handle payment posting?

We review remittances line by line, compare each payment against the expected contracted rate, flag underpayments, route denials to follow-up, and reconcile posted totals to bank deposits. Denied lines are never auto-written-off without review.

How do we get started?

Request a free billing assessment. We review a sample of your claims, denials and AR inside your current setup, explain what we found and quote a price based on your specialty, volume and the services you need. There is no obligation.

Kareo billing services for small practices

Our Kareo billing services are built for the practices Kareo serves best: small groups and solo providers who need the billing done right without hiring for it. We work inside your Kareo account — superbills and charges in, clean claims out — and handle eligibility checks, ERA posting, denials, and A/R follow-up on a daily routine. No system change, no retraining your staff: the billing runs in the software your front desk already knows. Related: EHR integrations, pricing, medical billing services.
