EHR & PM systems
EHR & PM Systems We Work With
Keep the software your team already knows. Fastora's certified billers work inside your existing EHR or practice management account, under the user access you grant.
Medical billing services that work with your EHR
Most practices are not looking to change software. They want medical billing services that work with your EHR as it is set up today, with the templates, fee schedules and payer settings your team already maintains. That is how Fastora works: our certified medical billing and coding professionals log in to your existing EHR or practice management (PM) system and do the billing work there.
There is no software to install and no data migration. Charges, claims, payments and notes stay in your own system, so your staff and providers can see every claim and every follow-up note at any time. If you change billing partners later, your records never left your account.
Fastora is not affiliated with, endorsed by or a certified partner of any EHR or PM vendor, and we do not build API connections to these products. We work through standard user logins that you create and control. Compatibility and access for your specific system are confirmed during onboarding, after the free billing assessment.
Behavioral health EHRs
Therapy and psychiatry practices often run on systems built for solo clinicians and group practices, such as SimplePractice, TherapyNotes and Valant. These tools handle scheduling, notes and insurance claims in one place, but the platform does not decide which code a session supports or chase a payer that has not responded.
A billing service for SimplePractice users typically picks up where the software stops: checking that session notes support the CPT code billed, posting ERA payments, working rejections and denials, and following up on unpaid claims. The same applies to a TherapyNotes billing service or one working inside Valant.
- Verifying mental health benefits, copays and session limits before the first appointment
- Matching psychotherapy, add-on and crisis codes to the time and content documented in the note
- Watching for authorization limits on higher-frequency or intensive services
- Working claims returned for credentialing or taxonomy mismatches on newly added clinicians
The software's built-in claim tools still do the submitting. What a SimplePractice billing service adds is the person who reads the rejection, fixes the cause and calls the payer when a claim stalls.
Our pages on therapist billing and behavioral health billing cover the specialty rules in more depth.
Therapy EHRs for PT, OT and speech
Rehab therapy clinics commonly document and bill in WebPT and similar therapy-focused systems. WebPT billing services usually center on timed-code unit counts, therapy modifiers, plan-of-care certification dates and visit or authorization limits, all of which have to line up before a claim goes out.
Working inside your therapy EMR means the billing team reads the same flowsheet minutes and plan of care your therapists entered, rather than a summary exported to another tool. Questions about documentation go back to the therapist through the system or the channel your clinic prefers. See rehab therapy billing for the payer rules involved.
Physician EHR and PM systems
Physician and multi-specialty practices use a wider range of platforms, including athenahealth, eClinicalWorks, AdvancedMD and Tebra. Each has its own claim queues, rejection worklists, ERA posting tools and reporting, and each practice configures them differently.
Whether you use athenahealth, eClinicalWorks, AdvancedMD or Tebra, the work itself follows the same revenue cycle. What changes from one system to the next is where each task lives and how your account is configured.
| Billing task | Where it happens |
|---|---|
| Eligibility and benefits checks | Your PM system's eligibility tools or the payer portal, noted on the patient account |
| Charge review and coding checks | The encounter or charge screen, against the signed note |
| Claim scrubbing and submission | Your system's claim queue and its connected clearinghouse |
| Rejection and denial work | Rejection and denial worklists, with notes on each claim |
| Payment posting | ERA and manual payment posting screens, reconciled to deposits |
| AR follow-up and reporting | Aging reports and claim status tools, summarized in monthly reporting |
Most of these systems route claims through a clearinghouse, either one built into the platform or one the practice contracts separately. Our article on the medical billing clearinghouse explains how that link works and where rejections come from.
How we access your system securely
Access starts with paperwork, not a password. Fastora signs a Business Associate Agreement (BAA) before anyone on our team accesses protected health information, as HIPAA requires for a billing company acting on a practice's behalf.
- You create individual user accounts for the billing team in your EHR or PM system, one per person rather than a shared login.
- You set the role and permissions for those users, so they see only what billing work requires.
- Our workflows follow HIPAA and HITECH requirements, with encryption, secure server environments, strict access controls and regular internal audits.
- Your system's own audit log records what each user viewed and changed.
- You can disable or adjust access at any time, and access is removed when the engagement ends.
Because the work happens in your account, you keep ownership of the data, the payer enrollments and the clearinghouse relationship. Your dedicated account contact coordinates any change to user access with your office manager.
What happens if your system is not listed
The systems named on this page are examples of platforms practices commonly use, not a closed list. If your practice runs on a different EHR, a hospital-affiliated instance or an older PM system, the same questions apply: can you create a user account for the billing team, and what can that user see and do.
During the free assessment we ask which system and clearinghouse you use, what reports you can export, and who administers user roles. That tells both sides how the work will run before you sign anything. For an overview of everything the billing team handles, see our medical billing services.

FAQ
EHR and software questions
Still have a question? Talk to our team about your billing workflow.
Do I have to switch software?
No. Fastora works inside the EHR or practice management system you already use, with no software to install and no data migration. Your team keeps its current workflows for scheduling and documentation, and the billing team logs in under user accounts you create. Compatibility and access for your specific system are confirmed during onboarding, before any work begins.
Do you work inside my EHR or export claims?
We work inside your system. Claims are reviewed, submitted and followed up in your own EHR or PM account and its connected clearinghouse, so every note, payment and status change stays in your records. We do not export your claims to a separate billing platform, and we do not build API connections to your software.
Is Fastora a certified partner of SimplePractice, TherapyNotes or other vendors?
No. Fastora is not affiliated with or a certified partner of any EHR or PM vendor. We name these systems only because practices commonly use them and a billing team can work inside them under the access the practice grants. Product names belong to their owners, and no endorsement is implied.
What access do you need to my system?
Usually individual user accounts with billing-level permissions: patient demographics and insurance, charges, claims, remittances and the reports needed for AR follow-up. You decide the exact role settings. A Business Associate Agreement is signed before any access to protected health information, and you can change or remove access at any time.
Can you work with my clearinghouse?
In most cases, yes. Many EHR and PM systems include a built-in clearinghouse, and others connect to one the practice contracts directly. We work with whichever route your system already uses, so your payer enrollments for electronic claims and ERAs stay in place. Any gaps, such as missing ERA enrollment, are flagged during onboarding.
What if my EHR is not on this page?
The systems listed are examples, not a complete list. Tell us which EHR, PM system and clearinghouse you use during the free billing assessment. We will confirm whether the billing team can work inside it under user access you grant, and how each billing task will be handled in that system.
Check if we support your EHR
Tell us which EHR, PM system and clearinghouse you use. We will confirm how the billing team would work inside it as part of a free billing assessment, before you commit to anything.
EHR-specific billing support
Some systems have billing quirks worth knowing — how athenahealth structures claims and remits, how eClinicalWorks handles claim rules and ERA posting, how Kareo manages the billing workflow for smaller practices. We work inside each system every day, so those quirks are handled rather than discovered. For the system-by-system details, see our pages on athenahealth billing services, eClinicalWorks billing services, Kareo billing services.
